Templafy Fair Usage Policy 

Effective Date: 3 March 2026

1. Purpose and Scope 

This Fair Usage Policy (“Policy”) governs access to and use of Templafy’s AI-enabled products, including but not limited to document agents (“Document Agents”), AI Prompt Library (“AI Prompt Library”), AI Assistant (“AI Assistant”), AI Smart Fields (“AI Smart Fields”) and other artificial intelligence assisted functionality made available by Templafy now or in the future (collectively, the “AI Functionality”). This Policy also governs all associated AI Credits (“AI Credits”) by customers and users (collectively, “Customer”). The Policy ensures reliable, high-quality, and secure service for all customers, preventing misuse or excessive use that could compromise service performance. 

This Policy applies only to the AI Functionality that is included in Customer’s subscription or otherwise enabled for Customer under the applicable Service Order or other ordering document (the “Service Order”). Not all AI Functionality described in this Policy is available to every Customer.  

2. Overview of AI Functionality and AI Credits 

2.1            AI Functionality

Templafy’s AI Functionality enables users to generate, edit, and transform digital content within the Services. The AI Functionality available to a Customer depends on the Services and AI features ordered in the applicable Service Order (including any add-ons), Customer’s subscription tier, and the configuration made available by Templafy. Accordingly, the Services may include one or more of the following AI Functionality (as applicable to Customer):  

  • Document Agents 
  • Prompt-to-presentation 
  • Prompt-to-slide  
  • AI Prompt Library 
  • AI Assistant 
  • AI Smart Fields 
  • AI DocGen API 
  • AI-generated text, formatting, document structuring, or content enhancement features 
  • Any future AI-enable features, workflows, integrations, or automation capabilities 

Templafy may introduce, modify, replace or discontinue AI Functionality at its discretion. 

2.2            AI Credits

AI Credits represent Customer’s permitted usage of AI-driven processing capabilities within the Service. 

AI Credits may be:  

  • Allocated per user, per organization, per workspace, or per subscription tier 
  • Applied to specific AI features 
  • Pooled at the Customer level 
  • Subject to different consumption rates depending on the AI Functionality used 

Templafy may implement different credit models, including based on actions, outputs, slides, documents, or other usage-based methodologies. AI Credits apply only to those AI Functionality components that are made available to Customer under its Service Order and that Customer uses. 

3. Fair Usage Allowances and AI Credit Consumption 

3.1            Monthly Allowance

Each Customer is allocated a defined number of AI Credits per month, if and as specified in the applicable Service Order. Unused AI Credits do not roll over unless expressly agreed in writing. 

3.2            Consumption Rate

AI Credits are consumed based on type and volume. Consumption rates vary by functionality as follows: 

  • 10 AI Credits per slide generated using Document Agents, prompt-to-presentation, prompt-to-slide, AI Smart Fields, AI DocGen 
  • 10 AI Credits per page generated using AI Smart Fields 
  • 5 AI Credits per text box edit or suggestion using AI Prompt Library, AI Assistant 

3.3            Per-User and Aggregate Limits

AI Credits may be limited per user and/or at the organizational (Customer) level, as detailed in the Service Order and/or Customer’s administrative dashboard. 

3.4            Reasonable Use

AI Credits are for legitimate, ordinary business purposes only. Excessive or abnormal usage—relative to standard or expected document workflow—is not permitted. Templafy reserves the right to determine, acting reasonably and in good faith, what constitutes excessive or abnormal usage. 

4. Overage and Additional Charges 

4.1            Overage Policy 

If Customer’s usage exceeds applicable monthly, per-user, or aggregate AI Credit limits: 

  • Notification: Templafy will notify Customer upon exceeding usage limits. 
  • Grace Period: For the first instance in a given contract term where overage occurs, Templafy will provide a five (5) business day grace period from the date of notification, during which Customer may either reduce usage to fall within permitted limits or purchase additional AI Credits. Additional charges will not be assessed if usage is brought back within allowance during this period. 
  • Additional Fees: If usage remains above permitted limits after the grace period, excess usage will result in additional charges at the then-current published overage rates as specified in the Customer’s administrative dashboard or as may be updated from time to time in accordance with this Policy. 
  • Suspension: Egregious or ongoing overuse may result in suspension or restriction of AI Functionality access until usage complies with permissible limits. 

4.2            Overage Rates Disclosure

Current overage rates are published and available in the Customer’s administrative dashboard. Updated rates will become effective on the date provided in the notice described in Section 7 below. 

5. Prohibited and Excessive Use 

Unfair or prohibited usage includes, but is not limited to: 

  • Automated or Non-Human Initiation: Using bots, scripts, or automated means to access AI Functionality or generate large volumes of AI outputs. 
  • Resale or Redistribution: Reselling, sublicensing, redistributing, or commercially exploiting AI Functionality or AI Credits to third parties. 
  • Abusive Volume: Generating AI outputs, including but not limited to slides or documents, at a scale that greatly exceeds typical business usage or is designed to stresstest, benchmark, extract value from, or reverse engineer Templafy’s AI systems. 
  • Circumvention: Attempting to bypass credit limits, monitoring controls, subscription tiers, security mechanisms, or administrative restrictions. 
  • Security Violations: Attempting to breach, probe, compromise, or interfere with Templafy security, systems or infrastructure. 
  • Prohibited Content: Submitting prompts or content that violates applicable law, regulation, third-party rights, or Templafy’s Acceptable Use Policy. 

6. Monitoring and Enforcement 

Templafy will monitor AI credit consumption and AI Functionality usage to ensure compliance with this Policy. Violation of this Policy may result in suspension, termination, or refusal to renew services, in addition to other remedies. 

7. Policy Updates 

Templafy may update this Policy at any time by posting a revised version at https://www.templafy.com/home/legal/fair-usage-policy/. For material changes, Customers will be notified at least 30 days in advance. Changes take effect on the specified date in the notice. Customer’s continued use of AI Functionality after that date constitutes acceptance.
